We are a language services agency that has maintained a strong presence in the domestic and international markets since being established in 1998. Our area of activity ranges from translation to interpreting, software localisation and linguistic services.
For the purpose of providing our services, we will need to use some of your personal data, which will be collected, processed and stored electronically by TETRAEPIK. This data will be used to reply, via the communication channels available, to user requests concerning quotes for translation and interpreting, performing these services and for submitting applications for current or future job offers at our company.

DATA COLLECTED AND PURPOSE FOR PROCESSING
– Client Management and Billing
When you ask us for a quote, either by filling out the form available on our website or by sending us an email, you will be asked to provide some personal data. The data used for processing purposes includes, in particular, your name and surname, telephone number, email address, billing information, documents to be translated and any other supporting material sent in attachment. Such data will only be requested as may be necessary and will not be used for any purpose other than that for which it is collected. Please do not send us any data that has not been requested.
When you request our services, for yourself or for minors under your charge, it is important that you are aware of the procedures that need to be followed and of your rights, so reading our Privacy Policy is mandatory. This policy is available on our website and must be read when you send us a request for a quote, or it will be sent to you whenever you ask for a quote by email or by any other form of communication. You will also need to give us your written consent to process such personal data. Please be aware that unless you have given us your consent, we will be unable to reply to your request.
By giving your consent, your data will be saved and stored in a database owned by TETRAEPIK for the aforementioned purposes. For billing purposes, if the service is awarded, you will be asked to provide your taxpayer number.
The legal basis for the processing of data rests on contract performance and your consent.
Your data will only be used for the aforementioned purposes. You can rest assured that your information will not be shared for marketing purposes with any third party.
Sending newsletters and information about TETRAEPIK
When you ask us for a quote via our website or any other communication channel, you may give your consent to the use of your email address for the disclosure of information, newsletters and events related to our business. In this case, we will keep your email on file and contact you whenever we have any relevant information about our activity. The aforementioned data processing will, therefore, be covered by your free, spontaneous and informed consent. It should be noted that you have the right to withdraw your consent at any time, by sending us an email to rgpd@tetraepik.com. Withdrawing your consent does not affect the lawfulness of the processing performed based on the consent given.
Job application management
We regularly need new professionals to work with us, either under an employment contract or as independent contractors. So, if you want to work for us and fill out your data via our website, TETRAEPIK will collect the following personal data: name, email, telephone, date of birth, professional experience, educational background and data contained in your curriculum vitae, with or without a photograph. You are providing your data voluntarily through our communication channels. Subject to compliance with the rules on the retention and transmission of data for legal purposes or as may be required by the courts, the data provided will be processed automatically and will only be required for recruitment purposes (for current or future job offers, or for a spontaneous application). The data will be kept in internal databases, so that it can be accessed and used for recruitment purposes at any time, in the context of job opportunities that may arise.
If you send us your CV by email, you will receive a return email requesting your permission for us to keep your CV for future opportunities. You will also be informed of our privacy policy, so that you can read about your rights. Please note that if you do not reply, your data will be deleted.
SECURITY MEASURES
TETRAEPIK hereby declares that it has implemented and will continue to implement the technical and organisational security measures required to ensure the security of personal data provided in order to prevent modification, loss, processing and/or unauthorised access thereto, taking into account the current state of technology, the nature of the stored data and the risks to which it is exposed.
We use secure data networks protected by robust firewalls and password-protected systems.
We may outsource a variety of services to suppliers to meet our hosting, authentication, storage and telecommunication requirements, among others, including, but not limited to, the storage of personal data. We may engage third parties to help us operate our websites and applications, authenticate users and provide additional services, and share personal data with our service providers or product suppliers to or via our websites (e.g. website or database hosting companies, authentication service providers, domain hosting companies, email service providers, analytics companies, distribution companies, and other similar service providers that use this data on our behalf).
The personal data obtained through the communication channels available will be entered into a database owned by TETRAEPIK, which is only accessible to the employees authorised to process the data as part of their duties, the access of which will be documented. We have implemented the adequate protection levels to prevent the unauthorised modification, erasure or processing of data. All our employees are subject to professional confidentiality and data processing is performed entirely for business purposes.
